Void Transactions for QuickBooks Financial

How to Void Transactions in Instant Accept for Quickbook Financials

Need to quickly find out how to void transactions in Instant Accept or QuickBooks Financial?  This tutorial will help you walk through the few steps it takes to void your necessary transactions along with a follow through on creating a credit memo afterwards.

  1. Completely close out of your Quickbooks then open your Instant Accept desktop application (IA icon located on your computer’s desktop).
  2. Once you are logged in (using your IA credentials), select Voids/Refunds.

Void Transactions

  1. Select date range, customer name, and/or last 4 digits of the card number.

Transaction List

 

  1. Choose to either refund or void the transaction. If you choose to refund then you will be prompted to create a credit memo for this transaction for your Quickbooks record.

Create a Credit Memo

  1. Fill out the credit memo page with the information for that transaction and select Your refund is complete.

Process Payments in QuickBooks Update

Default Process Payments Update

This tutorial will help QuickBooks Pro, Premiere & Enterprise Users to process payments.

Did you know that you no longer have to worry about unchecking the “Process Payment when saving” box located within the “Customer Payment” screen?

Process PaymentsPlease follow these steps to eliminate that extra step:

  1. Click Lists
  2. Customer & Vendor Profile List
  3. Payment List
  4. Click Payment Method
  5. Click New
  6. Type Other
  7. Choose other (from drop down)
  8. Save

Go to Receive Payment screen, choose your customer, enter the amount and choose other for your payment method.  This will now be your default payment.  You no longer have to choose a credit card type on this screen.  Once you choose other it will now forever be your default.

After you populate the customer name and the amount to receive your line item should highlight on its own.  You are done!  Just click “Save and Close” and InstantAccept will pop up allowing you to process.

Edit Signature Line on Receipts

How to Edit Signature Line Receipt

Follow these steps to edit signature line of your QuickBooks and InstantAccept Receipts.

  • Go to your POS home screen then select I Want to<IA POS Settings<Receipt Print
  • If you have a logo you would like to upload, simply click on the “Logo” box and upload your png formatted picture.
  • Enter your Merchant Info (Business name/Address/Phone/Website etc.) in the space provided.

(Optional) If you would like to resize/restructure your signature line receipt then select “Receipt Print Editor”.

From here you can move/resize whatever field you like. Once finished press Save.

This is a common misstep when processing card transactions within this InstantAccept Desktop.  When you’re done entering the card holders information (screen below) some merchants think they should click “process”, but if you notice, “process” is faded out in gray.

This walk through is for QuickBooks Pro, Premiere & Enterprise Users.

After you click “save”, you will then be prompted to the process screen.

Print Receipts Within QuickBooks

Print Receipts For Your Transactions

Print Receipts From QuickBooksSometimes as we are working through the day and accepting transactions we forget to print a receipt or the customer asks for their receipt. If you missed the chance to print your receipts for your transactions within your Quickbooks integration then you have another option.  This walk through will help QuickBooks Pro, Premiere & Enterprise users to retrieve their previous transactions to print their receipts.

First, you will need to exit out completely from your Quickbooks program and access the desktop version of InstantAccept.

Once open, you will see the dashboard. Click the “Transactions” icon.  This will allow you to see all payments processed within InstantAccept.  Filter in the dates then choose your desired transaction and to the far right, click print or email.

InstantAccept POS Settings

Accessing the InstantAccept POS Settings

InstantAccept POS Settings lets you modify your login credentials, payment processing details and receipt details. For Instance, this is where you can change your company logo, contact information or edit your signature line text. Follow the walk through below to make changes to your settings.

Open InstantAccept, click the ‘I Want to’ drop down and then select IA POS Settings. Then choose the tab you would like to make changes to.

  • You will be able to update or change your login credentials and then save your default information. Click Save to update your settings.POS Setting Screenshot

Payment Tab

  • The second tab contains the following two sections. Explanation of each item follows each item.
    • Payment Processing
      • Write AVS in comment in sales receipt:
        • Your receipt will reflect address verification is turned on.
      • Process payment on card swipe:
        • InstantAccept automatically processes the payment after swiping the card.
      • Allow credit card to be credited:
        • Process refund without a receipt.
          • See option 2 under the refund section.
        • To fully enable this feature please contact InstantAccept support.
      • Print receipt when transaction completes:
        • InstantAccept receipts print automatically after the transaction is processed.
      • Zip code is required for payment processing:
        • You have the option to enforce typing in the zip code when processing a payment.
  • Payment Method
    • Your processor must approve both of the following options and it must be indicated on your account.
      • Enable Credit Card:
        • Check the box to choose to accept credit cards through InstantAccept.
      • Enable eCheck:
        • This is where you can choose to accept echecks through InstantAccept.
    • Then click “Save”.

Receipt Print

  • You can add your company logo.
  • Update your company name and contact information.
  • Edit your signature and footer text on your receipts.
    • Then click “Save”.

  1. Completely close out of the Quickbooks program.
  2. Open Instant Accept Desktop application (IA icon located on your computer’s desktop).

The following steps will walk you through one option to be able to refund transactions.

  1. Click the “Make a Sale” icon in the center top of your QuickBooks POS screen.

NOTE: To utilize this option you will need to contact the InstantAccept support team at  (855) 220-2840.  They can then set you up for credits on the back end.

2. In the top of your QuickBooks POS screen you can either

  1. Scan or enter item information or
  2. type in the customer name or phone number.
    1. Choose the items that your customer would like to return.
    2. Click the grey “Credit” button at the bottom of your QuickBooks POS screen.
    3. Choose your “Card Type”.

NOTE:  Make sure to Click the “Return Item” button as shown below.

3. The ‘Sale’ pop up window opens. Here you can either

  • click ‘Swipe’ if you would like to swipe the customers credit or debit card or
  • click ‘Manual’ if you would like to manually key in your customers credit card information.

4. Click the “Process” button.

5. Click the “Print” button to print out your receipt or “Close” to exit the payment window

6. Click “OK” on the ‘Change’ screen.

7. Click the “Save Only” button or the “Save & Print” button.
